Terra Nova Medical is a family practice organization. We are currently hiring 2 Medical Office Assistants (MOA) at our Terra Nova King's Cross Clinic. The ideal candidates for this role is a successful team player with experience multitasking in a dynamic, fast- paced work environment, and has open availability. This is an excellent opportunity to be mentored by a dedicated training team - ideal for individuals with no prior experience but a strong willingness to learn. Responsibilities of the role:
- Answer Telephone
- Data entry tasks
- Educate patients about clinic policies
- EMR task management
- Ensuring daily paperwork complete
- Escort patient to exam room
- File & update medical charts
- Notify patients of availability of lab results
- Patient appointment Scheduling and maintenance
- Process and follow up on Referrals
- Restock supplies in patient rooms
- Send/Respond to office mail and emails
- Setup/clean patient rooms
- Work in reception (greet patients)
- Collect and prepare laboratory specimens
- Manage patient complaints
- Measure and record health data and vital signs
- Monitor and log inventory and supplies
- Order Inventory and supplies
- Prepare patient for examination
- Resolve issue with Referral process
- Set up for clinical procedures (Papa, Immunization, etc)
- Step in to support other function needed
- Help assign tasks
- Help develop processes
- Review/submit private and MSP refusals and rejections
- Submit MSP, ICBC & WCB billing claims
- Support Training of new staff and providers
- Triage patients over the phone
- Coordinate provider/locum/staff recruitment and onboarding
- Develop resources and new operational procedures
- Maintain and update manuals and templates
- Maintaining employee HR files
- Manage accounts payable and process payroll
- Manage personnel benefits and files
- Manage staff activity and HR issues
- Oversee and approve staff hours and vacation schedules
- Oversee MSP billings submission
- Performance reviews of staff
- Procurement and vendor management
- Provide Insight on HR, finance, or other administrative matters
- Work with providers to smooth administrative barriers
Position requirements:
- Minimum typing speed of 50 WPM with high accuracy.
- Fluent in spoken and written English
- Experience in a family practice setting
- Customer service focus and strong people skills
- Proficient computer skills and ability to troubleshoot minor IT problems
- Good organizational and time management skills
Position assets:

Terra Nova Yaletown Medical Clinic is a group family practice with up to 4 family physicians working in the clinic at one time. The clinic is due to open in Summer/Fall 2025.

Physician Schedule / Availability
- On-call Duties: Minimal, with home-call about 2 weeks per year; average calls: 0-1 per week
- Weekends/Nights: None required—unless you want to offer these times! You control your schedule.

- Patient Volume: Entirely dependent on your preferences—control your practice and your workload.
- Patient Demographics: We serve everyone, from newborns to the elderly. As a physician, you have the freedom to curate your own patient panel based on your interests.
- Types of Cases: Typical community family medicine, with opportunities to develop special interests within your practice. We focus on primary care but are open to specialty practice if the applicant has a preference.
