Flu Vaccine Returns Program

Introduction

Please Note the 2024/25 Influenza Vaccine  Returns Program has now closed. We thank all those who participated and we welcome your survey feedback on your experience. We look forward to your participation again for the 2025/26 campaign starting Fall 2025.

The Vancouver Division of Family Practice is here to help support members during the Influenza season – if your clinic has any questions about flu vaccines please email projects@vancouverdivision.com

Extended Information

The Vancouver Division of Family Practice and Vancouver Coastal Health will once again work with MTS Logistics to provide complimentary pick up and returns of unused influenza vaccines from your clinics. This Division-funded assistance for eligible Vancouver primary care clinics will allow for the timely, free of charge, returns for unused vaccines from your clinic to VCH and onto the BCCDC.

Read below for steps to return unused influenza vaccines from your clinic.

 

Important Dates:

  • 16 April 2025: Influenza vaccine Returns Program launched.
  • 10 May 2025: The last day to request complimentary pick-up of unused or expired Influenza vaccines (using online order form)
  • 15 May 2025: The last day for complimentary MTS pick-up of influenza vaccine returns.
  • April 16-30, 2025: Clinics are invited to complete a survey about their experiences with the Influenza Vaccine Delivery Program– and enter a draw for one of four $25 gift cards

Arrange pickup for your clinic:

Step 1 – If you would like to participate in the flu vaccine Returns Program please complete this order form to receive a cardboard vaccine returns box (delivered directly to your delivery street address) and schedule a pickup date.

The last day to complete this order form is May 10, 2025.

Step 2 – MTS Logistics will deliver a cardboard returns box to the delivery street address you provided for your remaining influenza vaccines. The cardboard box will arrive with a vaccine returns form and a return address label.

Step 3 – Place all end of season influenza vaccines (in its original packaging) inside the cardboard vaccine returns box along with a copy of the completed vaccine return form.

Please note:

  • Covid-19 vaccines cannot be returned via this Returns Program (**see below for instructions on COVID-19 returns)
  • Influenza vaccine returns can be co-mingled with other expired vaccines (except COVID-19 vaccines (**see below for instructions on COVID-19 returns)
  • Vaccine returns do not require refrigeration during transport (i.e. no water blankets, ice packs).

Step 4 – MTS Logistics will pick up cardboard vaccine returns boxes on the pre-arranged pick-up date from the clinic.

The last day for pick-up is May 15, 2025.

Reminders:

  • If you miss the deadline of May 10th to submit the Returns program order form: you can continue to drop off influenza returns at your local community health office or by contacting MTS to arrange for paid pickup.
  • Publicly funded vaccines should never be discarded as BCCDC receives a reimbursement percentage for returned product.
  • VCH recommends that clinics retain a small supply of unexpired influenza vaccines to have available for patients between now and the upcoming 2025/26 flu season. Once these vaccines have expired, please return them immediately so they do not get mixed up with the next season’s new supply. Expiry dates vary by product, but most expire in June/July.

** Unused or Expired COVID-19:

  • Please note the Division funded flu vaccine Returns Program does not support the returns of COVID-19 vaccines. All physical COVID-19 vials that have been unused or expired must be returned to your local public health unit throughout the year. Complete a Vaccine Field Return Form, and email a copy of this form to CDCVaccines@vch.ca for tracking purposes.  Once complete, please return the COVID-19 vials to your local public health unit for processing.

How can my clinic participate in the influenza vaccination campaign?

Vancouver clinics play an important role in immunization across the city. Each year, clinics can choose to participate in the current influenza vaccine season (October to March).

Participation is as easy as indicating to VCH whether your clinic wishes to obtain influenza vaccine for your patients.

VCH receives initial allocations of vaccines generally starting in October each year and distributes these through their Community Health Centres.

Your clinic has two choices for receiving vaccine doses:

  1. participate in the Vancouver Division supported delivery program where MTS delivers vaccine doses direct to your office.
  2. pick up directly from your Community Health Centre.

What is the overall strategy for flu vaccination 2023?

The provincial influenza vaccination campaign begins each year in October. Influenza vaccine is offered to BC residents at community COVID-19 booster clinics, pharmacies, as well as physician and nurse practitioner offices.

Is a free vaccine available to everyone this year?

Yes. The Influenza vaccine is recommended and provided free for all BC residents ≥ 6 months of age. In particular, the influenza vaccine should be offered to individuals at high risk of influenza complications (children 6-59 months, seniors, pregnant women, people 5-64 years with underlying chronic health conditions), those in contact with people at high risk including visitors to health care facilities, people who provide essential community service providers, and anyone else who wishes to reduce their risk of influenza.

Will there be enough flu vaccine this year?

There will be enough supply in BC for all residents who want to be immunized. Similar to last year, participating offices will receive a start-up supply. As VCH expects several vaccine deliveries, clinics will be able to re-order modest amounts.

Is it possible to have the vaccine delivered to my clinic?

Yes. The Vancouver Division has once again partnered with MTS Logistics/Medi-Tran Services to support member primary care clinics with vaccination delivery during October and November (extended to March 2024). This Division-funded support allows delivery of vaccinations in a safe and timely manner from your designated CHC vaccination depot directly to your clinic.

This year member clinics can have their initial allocation and re-orders delivered by MTS.

Your clinic should have received a communication from VCH about initial vaccine allocations and the option for delivery of your initial allocation. If you haven’t received VCH communication or haven’t replied, please email CDCVaccines@vch.ca and andrew.reyes@vch.ca.

Our clinic requested delivery of our initial allocation. What happens next?

VCH will contact the clinic to discuss what day/time is best for vaccine delivery. This information will be passed to MTS. During the week of October 3rd MTS will begin delivery as VCH packages the vaccine allocation.

Our clinic wants to pick up our initial allocation. What’s the process?

VCH will contact the clinic to let the clinic know the date that you can come to your usual local health unit for pickup.

Who is allowed to pick up vaccine?

VCH allows anyone associated with the clinic to pick up vaccine. It does NOT have to be a physician. Everyone is expected to transport the vaccine in a way that supports the cold chain.

How should I transport the vaccine?

This is unchanged from prior years. Best practice requires a cooler, cold water blankets and ice packs. Keep in mind that pre-filled syringe format products require much more space than multidose vials for transport & storage.

What vaccines will I receive?

Vaccines available this year include Fluzone Quadrivalent, Flumist and Fluad. You will likely be offered some of each product.
NB: As of 10 October 2023, Flumist is no longer available while Fluad vaccine will be available end of October.

What impacts which vaccines VCH receives and when? Does VCH withhold vaccine distribution?

The supply chain for flu vaccines involves manufacturing and then transport between several organizations. Flu vaccine is delivered from the different manufacturers on different dates to the BCCDC (the provincial depot), and from there it is distributed to the Health Authorities.

VCH distributes all of the vaccine it receives as quickly as it can once it is received centrally from the BCCDC.

When can I schedule high-volume vaccination clinics for my patients?

We recommend that you schedule your high-volume clinics based on vaccine distributed to your office in early October. You may be able to book additional high volume clinics in late October; please wait for supply updates and let us know how much vaccine you may need for those late clinics (based on appointment bookings). Are UBC Medical Students available to support our vaccination clinics?

UBC students are available and many would love an opportunity to see the “system in action” during flu vaccination season. Some of the ways you could fold medical students into your clinic:

  1. Administering vaccinations (under supervision of the FP or a nurse)
  2. Patient welcome/screening pre-vaccination and/or monitoring post-vaccination
  3. Collecting patient ID and injection information for future EMR updates

Most volunteer medical students are Years 1 & 2, and availability of all medical students is generally higher on weekends, in the evening, and Tuesday and Thursday mornings and afternoons.

NOTE THAT STUDENTS NEED A MINIMUM OF 1 WEEK NOTICE.

Can I get less vaccine than prior years? I won’t be immunizing as many patients this year

Yes. You only need to request the amount of vaccine that you realistically expect to use this year.
Vaccine not used in your office is not available to other locations. We really appreciate you taking a realistic assessment of vaccine utilization in your office and supporting placement of orders accordingly.

Is the recommended wait time post-injection still 15 minutes?

VCH Public Health and the National Advisory Committee on Immunization (NACI) still
recommend a 15-minute post-injection observation period.

A shorter observation period between 5-15 minutes may be considered if the conditions below are met:
• Client has received influenza vaccine before and did not have a severe reaction;
• No history of immediate post-vaccination reactions following any vaccines (e.g., syncope);
• There’s another adult who can monitor the vaccine recipient for 15 minutes;
• The vaccine recipient is not operating a motorized or another wheeled transportation device for a min of 15 minutes (so they can wait in the parking lot for the total 15 minutes);
• The vaccine recipient/responsible adult knows when to seek post vaccination advice/medical assistance;
• The client agrees to wait in the post-vaccination waiting area for the reduced observation period

Should I wait until the ‘right’ vaccine is available before vaccinating patients?

As in prior years, the recommendation is to not defer and use the best option you have on hand to vaccinate patients rather than waiting until other types are available.

What proportion of injection vs inhalable vaccines will I receive?

The initial proportions will be based on your 2022 usage.

How do I request more vaccine?

This process remains the same as prior years. You can email (preferred) or fax your local CHC that normally supplies your biologicals. The CHC will contact your clinic by email once the order is filled. VCH is targeting to have your order ready for pickup within 1-2 business days. If you want your re-orders delivered via MTS courier, please cc vaccine@mtslogistics.com.

How can my patients access vaccination clinics?

Your patients can find appointments using the BC flu on the Immunize BC website.

Will BC Children’s Hospital Family Immunization Clinic operate this year?

Yes. According to VCH, BCCH will operate its immunization clinic.

Will unused vaccines need to be returned to VCH?

Yes, as in previous years, unused vaccines will need to be returned to VCH. In April 2024, the Vancouver Division will offer via MTS complimentary pick up of unused vaccines. You will receive email communication about this year’s returns program.
