Physician Peer Engagement Program

Introduction

The first year of the Physician Peer Engagement Program (2024/25) has now wrapped. Thank you to all who participated.

199 physicians and clinic staff from 48 clinics came together at 19 events to connect, share, and problem solve around timely primary care issues – from workflow optimization to cybersecurity, staff safety, and physician wellness.

2025/26 Program Information

Are you and your colleagues discussing important family practice, clinic or system topics relating to the delivery of primary care in Vancouver and want to expand the discussion? Would you like the opportunity to better connect with primary care providers near you?

The Vancouver Division of Family Practice Physician Peer Engagement Program is designed to support member-led engagement opportunities for family physicians and their teams working in Vancouver Primary Care/PMH clinics. Members who have ideas to connect, exchange and share with colleagues in their communities are encouraged to apply.

Objectives

This program is designed to support one-time, small-group sessions that encourage conversations among peers. Ideas include, but are not limited to:

  • Enhance Community: Build stronger relationships among practitioners within their neighbourhoods.
  • Foster Collaboration across clinics in your community: Work with others to discuss, brainstorm, and collaborate on various aspects of primary care.
  • Share Ideas, Lived Experiences and Spark Innovation: Share lived experiences and learn from your peers’ successes, whether it’s adopting new technologies or streamlining practice management.

Program Details

  • Scope: Funding is intended to support small group discussions of 3-20 people from at least two different Vancouver Primary Care/PMH clinics. Funding is not intended to support internal clinic team meetings, nor to host large gatherings.
  • Event Organization: Approved events are to be planned, organized and hosted by the Organizing Physician or their clinic team and not by Division staff.
  • Use of Funds: The funds cover the cost of organizers’ and participants’ time only (for those eligible for sessional payments).  You can invite Family Physicians,  Medical Office Assistants, Clinic Managers, Nurse Practitioners (NPs)* and other healthcare related professionals to your event, however sessional payments are available only for:
    • Family Physicians,  Medical Office Assistants, Clinic Managers, and Nurse Practitioners (NPs)* working in Vancouver Primary Care/PMH clinics.
      • * NPs must apply for compensated for their participation through NNPBC.
  • Organizer Compensation: The physician organizer will receive compensation at the current sessional rate for up to 2 hours to plan the session and up to 2 hours to attend the event (up to 4 hours total).
  • Participant Compensation: Eligible participants will receive compensation (based on current sessional rates) for up to 2 hours.
  • Venue: Physician Organizers are responsible for securing a location, and for session planning and delivery.
    • Events may be in-person or virtual.
    • Funding cannot be used for venue rental, catering, meals, drinks, transportation, parking, or online collaboration software.

Application Process & Event Timelines

  1. Proposal Submission: Members submit a brief proposal using the Program Application form to outline the session description, target attendees and expected outcomes. APPLICATIONS FOR THE 2025/26 PROGRAM WILL OPEN IN THE FALL
  2. Proposal Review: Proposals will be reviewed and approved on a rolling basis or until available funding has been fully allocated.
  3. Session Planning & Hosting: Physician Organizers can plan and hold their events once they receive approval.
    • Refer to our Event Planning Guide for support to organize their event.
  4. Post-Event Reporting and Payments: Following the event, Physician Organizers must submit a list of attendees (for payment) and submit an End of Project Report about their event.

Physician Peer Engagement Frequently Asked Questions

Who is eligible to apply?

The Physician Peer Engagement Program is available to Family Physicians who:

  • Work full-time or part-time in a Vancouver Primary Care/PMH clinic

and

  • Are Vancouver Division members.

Who can receive compensation for participation?

In addition to family doctors, this program provides sessional payments to Medical Office Assistants and Office Managers who work in a Vancouver Primary Care/PMH clinic.

  • Nurse Practitioners (NPs) must apply for compensated for their participation through NNPBC.
  • This program cannot compensate the following for event participation:
    • Registered Nurses employed by Vancouver Coastal Health (VCH)
    • Allied Health Professionals
    • Medical professionals aside from family doctors e.g. specialists

What are the current compensation rates for participants?

The physician organizer of the session will be compensated for up to 2 hours to plan the session.

Physicians, MOAs / Office Managers will be compensated by the Division for up to 2 hours to participate in the session.

Current hourly rates are as follows:

  • Physician Sessional Rate: $176.18
  • MOAs / Clinic Managers: $25.00

Nurse Practitioners will be compensated by NNPBC for participation at approved events at the current sessional rate. NPs must request compensation directly through the NNPBC website. A confirmation of event attendance can be requested by emailing projects@vancouverdivision.com

  • Nurse Practitioner Sessional Rate: $122

Note:

  • The Vancouver Division of Family Practice reserves the right at its sole discretion to alter the funding for this program.

Are there any Funding Exclusions?

Yes, funding exclusions apply. Funding is not available for:

  • Venue rental, catering, meals, drinks, transportation, parking, or online collaboration software.
  • Events focused on promoting a particular company’s product

Funding is available for eligible organizers’ and participants’ time only.

Are Division Staff Available to Support Funded Events?

To empower physicians and foster creativity in event planning, physician organizers are responsible for planning, organizing, and hosting their events (including identifying invitees for events). Division staff are not available to plan, organize or host events, but are happy to answer questions about the program.

Is the Funding Taxable?

Compensation for organizers and attendees is considered taxable income. The Vancouver Division issues T4A slips for compensation paid to individuals. The Vancouver Division does not generally issue T4A slips to clinics or corporations. Members should seek accounting advice if they have any further questions.

Is Funding Available Beyond these Sessions to Implement Ideas or Projects?

Funding is not available for any follow-up activities or project ideas coming from the sessions.
